Patient Privacy Notice 

The Healthify respects your privacy and is committed to protecting your personal data. This privacy notice will inform you as to how we look after a patient’s personal data and tell you about your privacy rights and how the law protects you.

Information and data we collect

We collect this information to allow us to provide you with a high-quality and personalized service. Certain information, such as contact details and demographics are essential for some products and services. For the most part, this information would be entered by you, but in some cases, could be collected from devices (e.g. apps) or when setting up your online account, completing questionnaires and purchasing services. 

  • Contact details: name, surname, email address, telephone number and address

  • Demographics: date of birth, sex, and ethnicity

  • Symptoms: we are not providing GP services but, in the case our doctors decide to ask certain questions which will help them make better medical decisions regarding the recovery certificate, you might be asked to provide answers to routine clinical questions about physical and mental health symptoms

  • Medical and lifestyle history: we do not request any medical history, drug history, vaccination history, family history and lifestyle information including diet, exercise, smoking, occupation, unless it’s decided by the doctors on an ad hoc basis. 

  • Travel-related data: answers to questions about your past or future foreign travel plans. These questions may be legally required by the UK government for some products and services. 

  • Responses to questionnaires about our products and services

  • Payment information

Information we collect automatically when you use our website. This information is collected anonymously and helps us to optimize our website performance to meet your needs.

  • Technical information: IP address, domain names, country you’re visiting from, your web browser type and version, time-zone setting, browser plug-in types and versions, operating system and platform.

  • Visit information: information about the pages you visit on our website, how long you spend on each page, how you interact with page content (e.g. clicks, scrolls and mouse-overs) and any products or services you request.

  • We use cookies on our website to provide personal and convenient website visits. 

How do we use your data and information

We will only use your personal data when the law allows us to. We may use your personal information in the following main categories:

  • To carry out our obligations arising from any contracts entered into between you and us or to take steps at your request before entering into any contracts;

  • To comply with any legal obligations to which we are subject to;

  • Where it is necessary for our or a third party’s legitimate interests, including for the purposes of preventing fraud, except where such interests are overridden by your interests or fundamental rights and freedoms. We may share your data with third parties, including other healthcare providers who may contribute to your care, your GP, statutory bodies concerned with the regulation of your care, and other agencies who may be involved in your care.

  • We respect the security of your data and treat it in accordance with the law. 

  • The Data Protection Legislation gives you the right to access information held about you. Your right of access can be exercised in accordance with the Data Protection Legislation. You may request details or a copy of the personal data that we hold about you by writing on admin@healthify.co.uk.

  • We will only retain your personal information for as long as is necessary to carry out the purpose for which it was collected. We adhere to the NHS’s recommended retention policies.

  • Our site may, from time to time, contain links to and from the websites of our partner networks, nhs, other websites relevant to our content, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

  • We may anonymise and aggregate your personal data and process and share such data with third parties in order to monitor usage of our site, our application and our services, to market and improve our services, or for research purposes. You will not be capable of being identified from such data and we may use such data indefinitely without further notice to you.

  • Unfortunately, the transmission of information via the internet is not completely secure which can depend on factors on your end. Although we will do our best to protect your personal data and use industry-standard security and encryption measures, we cannot guarantee the security of your data transmitted to our site or our application; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorized access.

Disclosure of your information

We will share your personal information with third parties where we have a lawful basis for doing so. Other than in respect of special category personal data, you agree that we have the right to share your personal information with the third parties set out below, or any other third parties notified to you, for the purposes set out in paragraph 3 above:

  • Stripe, our payment services provider.

  • Social media platforms which are connected with our account

  • Google and google products which we use to for email communication and more 

  • WordPress, Hostgator, GoDaddy, Website chat provider and any other platforms which are being used to build our digital services and presence. 

  • Professional advisers including lawyers, bankers, auditors and insurers based in the UK.

  • Healthcare and patient management systems, external IT providers who may have access to your personal data which enables us to provide our services.

  • Healthcare providers and multidisciplinary teams, regulators and other authorities who require reporting of processing activities in certain circumstances.
    Where it is lawful and necessary to do so, we will share information about you with other medical service providers involved directly with your care. 

  • Third parties to whom we may choose to sell, transfer or mere parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy policy.

  • Fraud prevention agencies, the Police and other law enforcement agencies in limited circumstances we may be required to share your personal data, if required, any individual who has authority to act on your behalf such as those granted power of attorney. 

  • Your regular GP when we have your explicit consent by email or SMS. 

  • It is possible that we will use your information for other purposes as long as those other purposes are compatible with those set out in this policy where such use is required or permitted by law.

Usage of your personal data

Overall, it is necessary to perform a contract with you, protect your vital interests, meet regulatory obligations and for our legitimate interests and provide you with healthcare services. The categories are: 

  • Provision of our services

  • Financial and payment administration

  • Administrative matters

  • Analysis and monitoring to ensure the quality of care delivered to our patients and our clients

  • Complaints and any concerns raised

  •  Safeguarding and regulation of healthcare

  • Communication with you by the use of your personal information during and after the services

  • Marketing to notify you of our services which we think might benefit and interest you

  • We may ask you to voluntarily complete patient surveys to help us improve our services 

  • Security 

  • Special categories of personal data. We will only use and process such data where:

  •  it is necessary for the purposes of preventive or occupational medicine, medical diagnosis, or the provision of health care or treatment; or

  • you have provided your explicit consent to us doing so; or

  • where it is necessary for the establishment, exercise or defense of legal claims.

If we intend to process your special category personal data for any other lawful purpose, we will notify you before doing so (where possible) of the legal basis on which we are seeking to rely.

Note that we may process your personal data for more than one lawful ground depending on the specific purpose for which we are using your data. Please contact us if you need details about the specific legal ground we are relying on to process your personal data where more than one ground has been set out in the table below.

We aim to work with international medical providers and we try to attract clients from outside the UK with marketing activities through Google, partnerships, social media, affiliates and more. Some of our external third parties may be based outside the European Economic Area (“EEA”) so their processing of your personal data would involve a transfer of data outside the EEA. This will only involve the transfer of non-special category personal data outside the EEA. In cases that we we use providers based in the US, we may transfer data to them if they are part of the Privacy Shield which requires them to provide similar protection to personal data shared between the Europe and the US. Marketing

We strive to provide you with choices regarding certain personal data uses, particularly around marketing and advertising.

We may use your identity, contact details, usage data, technical data and marketing preferences to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you.

Emails: You will receive marketing communications from us if you have requested information from us or purchased services from us and, in each case, you have not opted out of receiving that marketing.  Where you opt out of receiving these marketing messages, this will not apply to personal data provided to us as a result of a service purchase, service experience or other transactions.

Third parties: You can ask us or third parties to stop sending you marketing messages at any time by contacting us at any time. If we intend to use your information for any other purpose, we will let you know what we intend to do with such data and the legal basis we are relying on for processing such data. This may include obtaining your express consent to the use of such data. 

Storing your information and deleting it

We will only retain your personal information for as long as necessary to fulfill the purposes for which we have collected it. To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements. When we no longer have a lawful purpose for holding your data, we will securely destroy your personal information in accordance with our data retention policy. 


Your rights

Under the Data Protection Legislation and certain circumstances, you have the right to:

  • You can ask us to rectify any inaccuracies in the personal information that we hold about you. 

  • You may have the right to request the erasure of personal information that we hold about you where there is no good reason for us to continue processing it, where you have successfully exercised your right to object to processing, where we may have processed you information unlawfully or where we are required to erase your personal data to comply with local law.

  • You may have the right to object to our processing of your personal data for certain purposes, including for direct marketing purposes, for scientific or historical research purposes or statistical purposes.

  • You may have the right to restrict our processing of your personal data in certain circumstances.

  • You may have the right to request a copy of your personal data from us in a commonly used and machine-readable format or that we transmit your personal data to another data controller.

  • You may have the right not to be subject to automated decision-making, including profiling, which has legal or other significant effects on you.

  • You may request the restriction of processing of your personal information.
