How we handle your information, what cookies we use, and the terms that apply when you order from us.

Who we are

The Healthify is a trading name of Golden Acorn Ltd, a company registered in England and Wales under company number 12030489, with its registered office at 20–22 Wenlock Road, London N1 7GU.

We issue Medical Certificates of Good Health for long-stay visa and relocation applications. Golden Acorn Ltd is the data controller for the information described in this notice.

We are registered with the Information Commissioner's Office under registration number [ICO REGISTRATION NUMBER].

The information we collect

We only collect what we need to arrange your consultation, issue your certificate and meet our professional and legal obligations.

Information you give us

  • Your name, date of birth, address, email address and telephone number
  • Your passport or identity document details, where we need to verify who you are
  • Your destination country and the type of visa or permit you are applying for
  • The delivery address for your certificate

Health information

  • Your medical history and current health, as discussed during your consultation
  • Details of any medication, treatment or diagnoses relevant to the certificate
  • Test results or supporting evidence you send us, where your destination requires them
  • The clinical notes our GP makes during and after your consultation
  • The certificate itself and any related correspondence

Health information is special category data under the UK GDPR. We treat it with the same confidentiality as any other medical record.

Information collected automatically

  • Your IP address, browser type and device information
  • Pages you visit on our website and how you arrived there
  • Information collected through cookies, where you have consented. The Cookies tab above explains this in full.

Payment information

Payments are processed by Stripe. Your card details are entered directly with Stripe and are never seen or stored by us. We receive only confirmation that a payment succeeded, along with the amount and a transaction reference.

We do not sell your data. We do not share your medical information with advertisers, data brokers or any third party for marketing purposes, and we never will.

Who we share it with

We share your information only where it is necessary to deliver the service you have asked for, or where the law requires it.

  • The GP who carries out your consultation. Our doctors are registered with the General Medical Council and are bound by the same duty of confidentiality as any NHS or private practitioner.
  • Stripe, our payment processor, for the purpose of taking payment.
  • Royal Mail, to deliver your certificate. They receive your name and delivery address only.
  • The Apostille Service, if you ask us to arrange apostille legalisation or sworn translation. They receive only the documents and details needed for that service.
  • Our IT and hosting providers, who may have incidental access while maintaining our systems. They act on our instructions and are bound by written confidentiality terms.
  • Regulators, courts or law enforcement, where we are legally required to disclose information.

We will not disclose your medical information to an embassy, consulate, employer or family member without your explicit consent, other than through the certificate you have asked us to produce.

Transfers outside the UK

Some of our service providers process data outside the UK. Where that happens, we rely on adequacy regulations or on standard contractual clauses approved for use in the UK, so that your information keeps the same protection it has here.

How long we keep it

We keep clinical records, including your consultation notes and certificate, for 10 years from the date of our last contact with you. This reflects accepted practice for private medical records in the UK and allows us to respond to any later query, complaint or claim.

Financial records are kept for six years, as required by HMRC. Enquiries that do not lead to an order are deleted within 12 months. Marketing consents are kept until you withdraw them.

Keeping it secure

We take appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access. These include encrypting data in transit and at rest, restricting access to those who need it for their work, requiring multi-factor authentication on accounts that hold personal data, maintaining backups, and keeping written confidentiality agreements with everyone who handles your information.

We review these measures regularly. If a breach occurs that is likely to risk your rights and freedoms, we will report it to the Information Commissioner's Office within 72 hours and tell you directly where required.

Your rights

Under the UK GDPR you have the right to:

  • Access the personal data we hold about you, and receive a copy
  • Rectification of anything inaccurate or incomplete
  • Erasure in certain circumstances, though we may need to keep clinical records for the retention period above
  • Restriction of how we use your data while a query is resolved
  • Portability, receiving your data in a structured, commonly used format
  • Object to processing based on our legitimate interests
  • Withdraw consent at any time, where consent is the basis we rely on

To exercise any of these, email admin@thehealthify.co.uk. We will respond within one month. There is no charge, and we may ask you to confirm your identity first.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Children

Our service is intended for adults. Where we issue a certificate for someone under 18, we do so only with the consent and involvement of a parent or legal guardian, who must be present for the consultation.

Changes to this notice

We update this notice as our service changes or the law develops. The date at the top shows when it was last revised. Where a change materially affects how we use your information, we will tell you directly.

What cookies are

Cookies are small text files that a website stores on your device. They let a site remember things between pages and visits, such as what you have put in a form or whether you are logged in. Similar technologies including pixels, tags and local storage do much the same job, and we use "cookies" throughout to cover all of them.

This sits alongside our Privacy Notice, which explains what we do with personal information more generally.

Nothing but essential cookies runs until you agree. When you first visit, you will see a banner asking which cookies you accept. Analytics and marketing cookies stay switched off unless you turn them on, and you can change your mind at any time.

Strictly necessary

These make the site work. They keep your session alive, remember what you have entered in the booking form, protect against fraudulent submissions, and record your cookie choices. Without them the site cannot function, so they do not require consent and cannot be switched off.

Analytics

These tell us how people find and use the site, so we can see which pages are useful and which are confusing. The information is aggregated. We use it to improve the website, not to identify you.

Advertising cookies never receive your medical information. They record general website activity only. Nothing you tell a GP, and nothing you enter on a medical form, is shared with any advertising platform.

Changing your mind

You can update your choices at any time using the cookie settings link in our website footer. Turning off analytics or marketing cookies will not affect your ability to book or receive a certificate.

Managing cookies in your browser

You can also block or delete cookies through your browser settings. Every browser handles this differently, and the help section of yours will explain how. Blocking all cookies, including essential ones, will stop parts of this site working, including the booking and payment process.

To opt out of Google Analytics across every website you visit, Google provides a browser add-on at tools.google.com/dlpage/gaoptout.

Cookies set by others

Some cookies on this site are set by third parties whose services we use, including Google, Microsoft, Meta and Stripe. We do not control how those companies use the data they collect. Their own privacy policies explain that, and we would encourage you to read them if you want the full picture.

About us

These terms apply when you order a service from us. Please read them before you place an order. By placing an order you accept them.

What we provide

We arrange a live video consultation with a GP registered with the General Medical Council, and issue a Medical Certificate of Good Health based on that consultation. Where you ask us to, we can also arrange apostille legalisation and sworn translation through our partner service.

Every certificate follows a real consultation with a doctor. We do not issue certificates on the basis of a questionnaire alone.

Thai work permits. Thai law requires the medical certificate for a work permit application to be issued by a physician in Thailand. Certificates issued outside Thailand are not accepted for that purpose, so we cannot supply one. We can issue certificates for the O-A and O-X long-stay visas, which are applied for in the country of residence.

Visa and document requirements

The information on this website about visa and document requirements is general guidance and reflects our understanding at the time of publication. Requirements are set by foreign governments, embassies and consulates, and can change without notice. Individual consulates may also apply the same rules differently.

You are responsible for confirming current requirements with the relevant embassy, consulate or immigration authority before you order. We cannot guarantee that a certificate we issue will be accepted, because acceptance is entirely at the discretion of the receiving authority.

We are not immigration advisers and we do not give immigration advice. Nothing on this website should be relied on as such.

None of this affects our responsibility for the medical services we provide, or your rights under the Consumer Rights Act 2015.

Placing an order

You must be 18 or over to order for yourself. Certificates for under-18s are issued only where a parent or legal guardian consents and is present for the consultation.

Your order is an offer to buy. A contract forms when we confirm your booking by email. We may decline an order, and will refund you in full if we do.

You agree to give complete and accurate information about your identity, health and destination. A certificate is only as reliable as what you tell the doctor, and we are not responsible for a certificate being rejected because information given to us was incomplete or incorrect.

Payment

Prices are shown on our website in pounds sterling and include VAT where it applies. Payment is taken in full at the time of booking, through Stripe. We do not see or store your card details.

Your right to cancel

Because we sell at a distance, you normally have 14 days to cancel under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

If your consultation has not yet taken place

You can cancel for a full refund at any point before your consultation begins. Email us, or call, and we will refund you within 14 days.

If your consultation has taken place

When you book, you ask us to begin the service within the 14-day cancellation period and acknowledge that once the consultation has been carried out, the service is fully performed and your right to cancel is lost. We confirm this to you at checkout.

After the consultation we cannot refund the fee, because the doctor's time has been given and paid for. This is the case even if you decide not to proceed with your visa application, or if your circumstances change.

If we cannot issue your certificate

If we are unable to issue your certificate for a reason within our control, we will refund you in full. If a clinical finding during the consultation means the doctor cannot certify you as being in good health, the consultation has still been carried out and the fee is not refundable, though we will discuss your options with you.

Errors on our part

If your certificate contains an error we have made, tell us and we will correct and reissue it at no cost, as quickly as we can.

Delivery

We email your certificate as a PDF and post the signed original by Royal Mail 1st Class. We aim to post the same working day where your consultation is completed in time.

Royal Mail delivery times are outside our control, and we are not responsible for postal delays or items lost in the post. If your certificate does not arrive, tell us and we will reissue it. If you have a firm deadline, please allow time for the post, and for apostille where you need it.

Medical care and complaints

Our doctors are registered with the General Medical Council and work to its standards. Clinical care is their professional responsibility.

Our service is limited to issuing a certificate. It is not a substitute for care from your own GP, and we do not provide ongoing treatment, prescriptions or follow-up. If the doctor identifies something that needs attention, they will tell you and advise you to see your own GP.

If something goes wrong, please email admin@thehealthify.co.uk. We will acknowledge within three working days and give you a full response within 20 working days. Complaints about a doctor's professional conduct can also be raised with the General Medical Council.

Our responsibility to you

We do not exclude or limit our liability where the law does not allow it. That includes liability for death or personal injury caused by our negligence, for fraud, and for breaches of your statutory rights as a consumer.

Subject to that, we are not liable for losses that were not foreseeable when you placed your order, including a refused or delayed visa application, missed travel, lost deposits or lost earnings. Our total liability for any claim is limited to the amount you paid us for the service in question.

Your responsibilities

  • Give complete and truthful information about your health and identity
  • Confirm what your destination requires before you order
  • Attend your consultation at the agreed time, with photographic ID
  • Check your certificate on receipt and tell us straight away if anything is wrong
  • Allow enough time for postage, apostille and translation before your deadline

Website content

Everything on this website, including text, design and images, belongs to Golden Acorn Ltd or is used with permission. You may not copy or reproduce it without our written consent.

We keep the site accurate and available as far as we reasonably can, but we do not guarantee it will be uninterrupted or error-free.

Changes to these terms

We may update these terms. The version that applies to your order is the one published when you placed it. The date at the top shows when this page was last revised.

Governing law

These terms are governed by the law of England and Wales, and disputes will be dealt with by the courts of England and Wales. If you live in Scotland or Northern Ireland, you may also bring proceedings in your own courts.

Your statutory rights as a consumer are not affected. Free advice is available from Citizens Advice.
